Procurement Specialist - IT Shared Services
UBM is looking for an experienced Procurement Specialist to join the IT Shared Services organization within UBM Americas in the role of IT Procurement Analyst. Reporting to the Head of IT Services and Infrastructure, the IT Procurement Analyst will be responsible for sourcing competitive services and relationships with new and existing partners for the fulfillment of IT Shared Services operations and strategy. They will also ensure all purchases are conducted within Group policy mandates and directives with regard to preferred suppliers, payment and procedures and that all purchase requests are authorized in line with delegated authority mandates and all hardware and software assets are tagged and recorded appropriately and that unused assets are redeployed where possible.
The IT Procurement Analyst will also perform and maintain regular audits of hardware and software licenses, and report variances to ITSS Management and monitor spend versus budget for all items procured through the team.
The IT Procurement function sits within a global team who are responsible in defining, managing, and optimizing the procurement process for IT Shared Services. The IT Procurement Analyst will work closely with all areas of IT Shared Services and UBM Divisions to ensure the timely and cost effective delivery of hardware, software, and services required.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
o Define purchasing recommendations that support business goals, in collaboration with senior management and stakeholders.
o Obtaining and negotiating quotes for goods or services across global suppliers.
o Managing purchase orders and requisitions for procuring goods and services, including renewal of annual maintenance contracts and purchase of new hardware, software, and services.
o Placing orders with suppliers, chasing for delivery dates, and ensuring that purchases are delivered in line with ITSS requirements
o Management of Procurement Team requests in ServiceNow and purchase requests in Oracle.
o Tracking of purchases and other IT spend against IT maintenance budgets, analysis of spend against department budgets, and demonstration of ongoing variances to budget.
o Assistance in billing process for services from Telecoms providers.
o Compare licenses, warranties, maintenance agreements, and vendor contracts against audits to ensure company’s legal compliance and asset upkeep, upgrades, repair, and replacement.
o Comply with all company policies.
o Develop external relationships with suppliers of the full range of IT goods and services
o Enter all software and hardware serial numbers or identification tags into database/repository/asset management software and ensure information is up-to- date, accurate, and auditable.
o Explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full efficiency from company resources.
o Interview, identify and qualify potential new vendors or suppliers in order to secure more cost-effective sources of products and services.
o Monitor vendor, service provider, outsourcer, and/or contractor performance to ensure the quality service.
o Working with suppliers to ensure that key processes are running efficiently and cost-effectively.
o Building strong working relationships both internally and with key suppliers. Some travel may be required for the purpose of meeting with vendors, suppliers, service providers, or off-site contractor.
o Good working knowledge of current IT technologies across a wide variety of areas.
